Business Card Management App Trial Checklist | Five Tasks and Acceptance Test Records
Share-Me |

When trying a business card management app, you cannot determine if it is suitable for work just by using the scanning screen once. Verify whether you can edit the scanned information, search for contacts later, and restrict access to only those who need it, all as part of a single workflow.
Instead of comparing a list of features for candidate services, this article provides a checklist to record five tasks: scanning, editing, searching, sharing, and ending use. This is not a comparison of actual results or a ranking of recommendations. It is not an implementation plan for scheduling, but a template to decide what to operate during a trial or demo and what evidence to keep.
Prepare to test under the same conditions
First, select the tasks you actually need, such as "registering a business card received on the go and contacting the person the next day" or "checking who a colleague exchanged cards with." If you are using it personally, you can exclude sharing. Do not use the absence of unnecessary features as a reason to deduct points.
For test business cards, use cards you have permission to handle or use dummy data. Choose formats you might actually receive, such as horizontal, vertical, English-only, or double-sided, and assign a management number to each document. If you only collect difficult business cards that are unlikely to occur in practice, you will move away from judging suitability for routine work.
- Usage conditions: product name, plan, distinction between trial and demo, and date of verification.
- Operating environment: device, OS, app version or browser, and network environment.
- User: whether operated by yourself or explained/performed by a representative.
- Target: document number, format, and correct values for text and contact information.
- Pass criteria: what state must be achieved to entrust the task to the app?
Confirm whether the features you can test are the same as those in the plan you intend to contract. A free trial is not always available, and you may only be able to view a demo screen. Do not assume a feature is "unsupported" if you cannot test it; instead, record the reason and the contact person.
Checklist for each of the five tasks
The "Pass criteria" in the following cards are examples. Change them to match your company's mandatory requirements and finalize them before proceeding. This does not indicate that specific products have each feature or that our editorial team has verified them.
Test 1: Make scanned information usable
Operation:Import the same document following the official instructions. Verify that the results are usable and match the original document for the company name, name, department, phone number, and email address.
- Which items required re-scanning or re-entry?
- If information on the back is required, how can it be handled?
- Can you distinguish between items awaiting processing and those requiring user verification?
- Can you avoid using guessed information that cannot be read?
Example of pass criteria:The user can verify the accuracy of the items required for contact. If there are errors, proceed to the next correction test.
Evidence to keep:Document number, items with errors, whether re-operation was required, and the point at which verification was completed. Do not state that the overall reading accuracy of the product was calculated from the results of a small number of business cards.
Test 2: Correct errors and re-display to verify
Operation:If there are no misreads, prepare items to correct using authorized test data. The user corrects them, moves to a different screen after saving, and then verifies again.
- Who can correct which items?
- Did you close the screen before saving, thinking you had corrected it?
- Can you verify the content on a different display or the device you intend to use?
- Do you know how to undo an incorrect operation or who to consult?
Example of pass criteria:The intended user can make corrections and verify the values after saving.
Evidence to keep:Items changed, role that performed the operation, display verified, and areas where assistance was required. Do not assume that correction history or automatic synchronization features are available.
Test 3: Find a contact using available clues
Operation:If using it as a team, a user other than the person registered performs the search; for personal use, the user searches after some time using information available in the course of work. Check the official specifications of each product to see which items can be searched, and do not make non-existent search methods a mandatory operation.
- If you only know the company name, can you narrow down the results?
- If there are multiple people with the same surname or from the same company, can you distinguish them?
- If it cannot be found using an abbreviation, can you switch to the official name?
- Can you distinguish between input errors, unregistered items, and differences in viewing permissions?
Example of pass criteria:Using clues available in the course of work, you can confirm the contact information without confusing the person.
Evidence to keep:Search terms, results, and the basis for judging the correct person. If you want to organize the classification of business cards itself, classification rules to make business cards easier to find are also useful.
Test 4: Verify both those who can see and those who cannot
Operation:If sharing is required, do not stop at the administrator screen; verify using an authorized test account. Define in advance the conditions for those who can view and those who cannot.
- Can the necessary users view the target information?
- Is it invisible to users who are not authorized?
- Can viewing and editing roles be separated to the necessary extent?
- After changing the settings, can the user verify the results?
Example of pass criteria:It meets the sharing scope defined by your company, and the person in charge can explain how to configure it.
Evidence to keep:Role, target data, expected outcome, and actual outcome. Do not share account passwords; verify using authorized methods. You can use business card sharing rules for small teams to organize the scope you want to implement.
Test 5: Verify how data is handled when ending use
What to verify:Confirm what remains and what you can receive at the end of the contract through official documents or the support contact. Only if return or export features are available, verify the content using authorized test data.
- What information is included, such as contact details, images, and notes?
- How are the return format, applicant, cost, and application deadline determined?
- What happens to viewing permissions, retention, and deletion after cancellation?
- Who organizes the test copies left in the company?
Example of pass criteria:You can explain under what conditions you can transfer the information your company needs, and your concerns before contracting are resolved.
Evidence to keep:URL, version, and date of verification of the official document, the response provided, and the scope of actual operation. Do not perform cancellation or deletion in the production environment solely for verification.
Leave one acceptance test card for each task
In addition to a comment that it is "easy to use," leaving a reproducible record allows other people in charge to make a judgment. If saving images is not permitted by company policy or usage conditions, record the necessary verification items in writing and avoid copying personal information unnecessarily.

Hypothetical example:If you record in a search test that "the target could not be found using the company abbreviation and was found using the official name," and the pass criteria is searching by official name, mark it as Pass and note that abbreviations are outside the scope of verification. If searching by abbreviation is mandatory, mark it as Needs Verification. This is a hypothetical example for explanation purposes and not the actual measured result of a specific product.
Distinguish between Pass, Needs Verification, and Not Performed
If you did not operate it because the settings were not ready, mark it as Not Performed; if you did not get the expected result, mark it as Unsuitable; and if you are waiting for an official response, mark it as Needs Verification. Even if the issue is resolved by reconfiguring, do not delete the original record; leave the conditions for re-verification.
When listing candidates, only include items that can be compared under the same test and contract conditions. Do not equate the results of a demo representative's operation, your own operation, and different devices directly to speed or performance. It is also important not to offset a failure to meet mandatory conditions, such as sharing scope, with the number of convenient features.
Ask about conditions that cannot be determined from the screen alone
Confirm pricing, minimum number of users, supported devices, storage and publication scope, support, and conditions at the end of use by including the name of the plan you intend to contract. Instead of asking "Can you do it?", show the test card and explain, "I want to perform the task of passing this information to this scope for this role," which makes it easier to organize the conditions of the response.
After completing the operation verification, you can proceed to the 30-day implementation plan for testing with a small group to see if it can be continued in actual work. Evaluate whether the task is feasible and whether it will become part of daily work separately.
