When a transfer or title change is decided, check not only your paper business cards but also your digital business card, email signature, and company information page. If your department name has changed but your phone number and responsibilities remain the same as before, people may be confused when choosing how to contact you.

We recommend listing the items to be changed and their publication locations in a single ledger and ordering them by publication date. This article introduces an update ledger and verification procedure for internal transfers and promotions that you can copy and use as is. It does not cover account suspension or permission removal upon resignation.

First, determine what will change and when

First, confirm the official department name, job title, and effective date based on personnel notifications or internally approved wording. If you decide on abbreviations or English translations on your own, they may differ from the company profile or other employees' business cards. Even if the information is editable before it is announced externally, wait until the announcement to publish it.

  • Changes: Department, title, area of responsibility, direct phone number, work location, etc.
  • No changes: Name, main company number, email address, etc. Confirm these items as well.
  • Requires confirmation from other departments: English wording, company logo, contact point, publication date.

If you hold concurrent positions, check whether you can simply replace your title with the new one. Also review the brief description of your responsibilities so people can determine what matters they can consult you about. If you want to reorganize the items listed on your business card, profile information and link priorities may also be useful.

Business card information update ledger to prevent missed updates

The following table is a template for finding missed updates. For your actual management sheet, add "Person in Charge," "Scheduled Change Date," "Confirmation Date," and "Reason for Incompletion." You may not always be able to change company-managed pages yourself.

Publication Location Items to Check Criteria for Completion
Published Digital Business Card Department, title, responsibility description, contact information Confirm new information on the recipient-facing page
Email Signature New emails, replies, PC, smartphone Send test emails from each and confirm
Paper Business Cards / Print Data Front and back, English side, QR link destination Confirm final submission data and start date
Company Website / Introductory Materials Employee introductions, speaker introductions, sales materials Receive confirmation of reflection from the person in charge of management
Booking / Inquiry Contact Booking page, form, contact desk Confirm that the path leads to the new person in charge
Copies Given to Others Paper business cards, attached PDFs, saved contacts Record the change notification sent to necessary contacts

It is useful to divide the status of the management sheet into categories such as "Not Started," "Awaiting Confirmation," "Updated," and "Display Confirmed." "Updated" should mean that the input is complete, and the final status should be reached only after someone else has confirmed that it is correct. Leaving a brief note of not only the date but also what you looked at to confirm it will make it useful for handovers.

Procedure for Updating with Consistent Publication Dates

The update order is divided into preparations before the publication date and reflections after the publication date. For example, if you publish only the department name first, it may conflict with the inquiry form or phone guidance. For places where the change cannot be made in time, record it in the ledger and decide with the person in charge whether temporary guidance is necessary.

  • Pre-publication preparations: Confirm the correct wording and identify items to be changed. Check the remaining stock of paper business cards and the need for reprinting.
  • Publication date: Change the updateable profile and signature, and check the reflection status of the company-managed page.
  • Reflection confirmation: Open the recipient-facing URL and check the contact information and link destinations. This also prevents the mix-up of old PDFs or print data.
  • After operations begin: Check whether the old contact point is still being used in actual communications and proceed with any remaining corrections.

The following is a fictional operational example. It does not involve actual employees or case studies.

Example: Transfer from the Sales Department to the Business Development Department. The email address remains the same, but the direct phone number and the matters you consult on change.

Change the department name, direct phone number, and responsibility description in the profile. Check the email signature not only on a PC but also from smartphone replies. Request the company website update from the public relations person and leave it in the ledger as awaiting reflection. Individually inform the contacts of ongoing projects of the new contact information and scope of responsibility.

What About Information You've Already Given Out?

Even if you edit your online profile, it may not automatically update printed paper, PDFs saved by the recipient, or contacts on their smartphone. It is important to think of "Updating the Published Page" and "Updating the Information in the Recipient's Hands" separately.

Especially when your email address or phone number changes, inform your business contacts of the new contact method. If only your title changes, you can also supplement it the next time you contact them. Tailor it to your relationship with the recipient and the company's guidance policy, and do not assume you will send it to all past acquaintances at once.

In the notification, it is easier to understand if you briefly separate the change date, new affiliation or responsibilities, changed contact information, and unchanged contact information. If the recipient has saved your previous contact information, ask them to update it as necessary. Do not advise that simply changing your profile will automatically sync it to the recipient's device.

Five Things to Check After Updating

  • Are the Japanese and English department and job titles using the approved wording?
  • Do the phone and email links lead to the same destinations as the displayed text?
  • Can you open the intended published page from the QR code or shared URL?
  • Are there any old staff details remaining in the materials or booking pages within the profile?
  • Are items awaiting internal confirmation or the switchover of paper business cards recorded in the ledger with a person in charge?

Whether to use up the old business cards or switch to new ones depends on company policy. If the old contact information becomes invalid, be careful not to continue distributing them just because you have stock remaining. If you use paper and digital business cards together, you can also organize the rules for using paper and digital business cards together.
