Before Sharing PDF Materials via a Digital Business Card | Version Control and Pre-Publication Check

Conceptual diagram for checking the version, smartphone display, and links of sales materials to be shared via a digital business card before publication

When you provide sales materials or portfolio introductions via a digital business card, recipients can review the content when they need it. However, simply being able to post a file is different from ensuring that only approved materials are published and that they are easy to read. Before publication, check that there are no internal notes, expired prices, or diagrams that are unreadable on smartphones.

This article introduces a method to consolidate PDF publication decisions, version control, file size, smartphone readability, and link checks into a single sheet. The following cards are operational suggestions for your own company to adjust. They do not indicate that any specific service offers viewer restrictions or download tracking features.

Decide who the materials can be shared with first

Separate materials intended for a wide audience, such as company profiles, from proposals intended only for specific clients. Since a URL sent to a recipient may be forwarded to others, do not decide to publish based solely on the assumption that "only the person to whom the business card was given will view it."

Card for determining the publication scope of materials

  • Intended audience: [First-time contacts / Existing clients, etc.]
  • Purpose of materials: [Service overview / Portfolio introduction / Individual proposals, etc.]
  • Scope of publication: [Conditions approved by the company]
  • Is the content acceptable if forwarded or saved?: [Reviewer / Decision]
  • If conditions are not met: [Create a separate version for publication / Share via another approved channel]

If viewer restrictions are necessary, check whether the system you use can actually enforce them. Until this is confirmed, you may also need to decide not to include it in the public profile. Writing "For authorized personnel only" in the link name is not the same as technically restricting access.

The priority of materials in the business card can be organized by profile information and link priority. Here, we will focus on deciding whether a selected version of the material can be published.

Manage the version and person responsible for publication together

Manage the draft for editing and the PDF for external distribution as separate files. Even if the original draft is updated, recipients will see outdated information if the public file is not updated. Since it can be difficult to distinguish them with only the name "Latest Version," record the material name, version, and publication date.

Management card for the public PDF

  • Material name / Management number: [ ]
  • Public file name / Version: [ ]
  • Storage location of the original draft: [Company-approved storage location]
  • Person responsible for content / Person performing publication: [Name / Name]
  • Approval date / Scheduled publication date: [ ]
  • Expiration or re-review trigger: [Price revision / End of recruitment / Periodic review, etc.]
  • Publication location: [Target profile URL]
  • Handling of the old version: [Storage location / Access point to discontinue publication]

Including the date and version on the PDF cover or at the end makes it easier to distinguish even after it has been downloaded. There is no need to publish internal revision notes as they are. Separate the version information necessary for readers from the approval history managed internally.

If multiple employees provide the same material, keep a list of the target profiles. Since updating one file may not reflect in all of them, please check according to the publication method you use. Overall company notation management can be organized by separating it from the management rules for unifying employee digital business cards and roles.

Check rights and non-public information in the completed PDF

The person in charge confirms the basis for publicly releasing photos, customer names, logos, works, and figures. Even if a material is acceptable to show during a business meeting, it may not be approved for publication in a form that anyone can access. Remove any unconfirmable parts or postpone publication until approval is obtained.

  • Customer names / Case studies: Do the scope of publication permission and the published content match?
  • Photos / Illustrations: Can the terms of use be confirmed? If source attribution is required, is it included?
  • Prices / Results: Are the applicable conditions, target period, and explanations sufficient?
  • Contact information: Is it the public contact point? Are personal contact details mixed in?
  • Notes / Comments / Document information: Are there any internal descriptions or unnecessary information remaining?

Please check not only the original material but also the exported PDF. Adobe's official guide provides instructions on how to redact text and images in a PDF and choose whether to completely remove hidden information. Do not consider the removal of confidential information complete based only on visual inspection; instead, confirm with approved editing tools and personnel as necessary.Adobe official PDF redaction guide

This article does not individually determine rights issues. Return any materials or contract terms that cannot be determined to the company's internal review point. Do not apply a blanket process such as converting the entire material into an image for safety; instead, check readability and the removal of necessary information separately.

Check file size and smartphone readability

PDF file size involves two perspectives: the service's upload limit and the burden on the recipient when opening it. Even if it is below the limit, it will be difficult to use as a material if it is hard to read in the recipient's environment. Please check the capacity, page count, and file conditions for each usage plan with the current official information or support before publication.

Perform checks from the recipient's perspective

  • Can the PDF be opened from the provided profile?
  • Can it be viewed under the intended conditions even by someone who is not logged in?
  • Can headings and key points be followed on a smartphone in portrait orientation?
  • Can text and diagram explanations be read even when zoomed in?
  • Are there any page order issues, garbled text, or missing images?
  • Can the links in the body lead to the correct contact point?
  • Have the device, browser, and communication environment used for checking been recorded?

If large landscape tables are the main focus, you can separate them into a shorter public material that summarizes only the key points. Rather than forcing small notes to be smaller, it may be easier to read if you organize the explanation and divide it into multiple pages. Do not make a specific font size or capacity a universal passing criterion; instead, judge based on the actual content.

If compressed, check the compressed PDF again. Even if the file size is reduced, it cannot fulfill its purpose if text in diagrams or photos of works become unreadable. Record the file size of the file adopted for publication and the check results on the management card.

Consolidate the pre-publication decision into a single sheet

The following card is a template to prevent the person performing publication from proceeding with publication based on their own judgment alone. In addition to a "Confirmed" mark, please record which version was reviewed by whom. If the content is revised, redo the affected check items.

PDF publication decision sheet

  • Target file and version: [ ]
  • Approval of publication scope: [Reviewer / Date / Basis]
  • Materials / Results / Non-public information: [Reviewer / Unresolved items]
  • Capacity / Plan conditions: [Official information or response / Check date]
  • Smartphone display: [Device / Conditions / Results]
  • Link name and destination: [Material name / PDF notation / Check results]
  • Person responsible for post-publication review: [Name / Trigger]
  • Decision: [Publishable / Pending. Reason for pending and next person in charge]

Hypothetical decision example:Suppose a new price list and customer logos were added to a revised company profile. Even if the prices have been approved, publication will be pending if the publication conditions for the logos have not been confirmed. If a separate version for publication is created with the logos removed, that separate version will also be reviewed again. This is a hypothetical example showing the decision process, not an actual result or implementation case.

For the link name in the guide, use an expression that indicates the content and format, such as "Service Overview (PDF)," rather than just "Click here for materials." If you also include a digital business card in your email signature, check how to add a URL to your signature and ensure that the intended material can be reached from any access point.

After replacement, review access points to the old version

After revision, reopen from the profile and check whether it is the new file by the cover or version display. Do not consider it complete by looking only at the file name, and record the results for each target publication location. If the link changes, also check whether the old URL remains in other profiles or materials.

Even if the publication source is replaced, saved PDFs or attachments in past emails may not be updated automatically. For important changes such as prices and contact information, the person in charge will decide whether to inform the necessary recipients of the changes. Do not assume that downloaded materials can be retrieved or invalidated.
